Terms of service

These terms govern your use of StaffVoice ("the service"), operated from the United Kingdom. By creating an account or running a pulse you agree to them. If you're accepting on behalf of an organization, you confirm you have authority to bind it.
What the service is
StaffVoice lets a manager ask their team one open question ("a pulse"), collects written responses through anonymous links, and uses AI to rewrite and organize them into a report. The privacy policy and, for organizations, the Data Processing Addendum form part of these terms.
Accounts and plans
- You're responsible for what happens under your account and for keeping your sign-in method secure.
- The free tier includes your first pulse for up to 15 people. Paid plans are billed per manager, monthly or annually, at the prices shown on our pricing page at the time you subscribe. We'll give at least 30 days' notice before any price change affects an existing subscription.
- You can cancel any time from the billing page; your plan runs to the end of the paid period. Statutory rights unaffected.
Acceptable use
You agree not to:
- attempt to identify anonymous respondents, including by wording questions or structuring pulses to fingerprint individuals;
- use the service to harass, discriminate against, or retaliate against respondents;
- probe, disrupt, or overload the service, or access another organization's data;
- resell the service without our written agreement.
We may suspend accounts that break these rules, with notice where practicable.
Anonymity — what we promise
We promise exactly what the system structurally guarantees: managers never see raw notes; invitation emails and responses share no link in our database; reports never reveal who signed and who didn't; raw notes are deleted at most 30 days after a pulse closes; and a pulse cannot be closed early. We do not promise that a manager can't recognize a respondent from details the respondent chose to include — and we tell respondents so.
AI output
Reports and rewritten responses are generated by AI. They aim to preserve meaning faithfully, but AI can make mistakes — treat reports as a well-organized summary of what your team wrote, not as professional advice, and don't use them as the sole basis for decisions about individuals.
Your content
Your organization owns its questions, responses, and reports. You grant us the licence needed to operate the service — to store, process, and display that content to the people your plan and settings allow. We don't use your content to train AI models.
Liability
The service is provided with reasonable skill and care, but "as is" beyond that: we don't guarantee uninterrupted availability. Nothing in these terms limits liability that cannot be limited under English law (including for death, personal injury, or fraud). Otherwise, our total liability in any 12-month period is capped at the amount you paid us in that period, and we are not liable for indirect or consequential losses, or for decisions you make based on reports.
Changes and ending
We may update these terms; material changes will be notified by email or in the product at least 30 days ahead. If you keep using the service after that, the new terms apply. You can delete your account at any time. We may close accounts unused for a prolonged period, with notice.
Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction — except where consumer law gives you rights in your own country.
